Video for Milestone Birthday

I've been making iMovie slideshows (photos+music+captions) for years now, but I have a new challenge. My husband's awesome grandpa is turning 85, and his wife has asked me to make a video for his surprise birthday. I've made tribute videos in the past, but always using my own photos/videos (or collecting them from tech-savvy relatives). Now, I need to collect media from people I don't know- extended family, friends from their retirement community.

What's the best way to collect this stuff for the best quality video/photos? Is Dropbox easy for non-tech people to use, or should I just have them email? What kind of instructions should I give for scanning old pictures and sending video clips? Any advice would be greatly appreciated!

Dropbox is a good solution for sharing large files, and I think it's pretty easy to use for non-tech folks.
